Once an order had been placed with Prographics, it is assumed that the customer has complete knowledge of and will comply with every rule, regulation and policy contained in this section. No exceptions will be made if a customer has not read our policies and procedures prior to calling. Please take a few minutes to read this section!
ARTWORK – The art staff at Prographics is here to make creating your t-shirt design a fun and rewarding experience. Once you have decided to place an order with us, just ask us to create a custom design for you online, or over the phone. There are no upfront charges for any design that you commission our art staff to create for you. The artwork is built into the price of the products you will be ordering. If your proof is not perfect the first time, we will not stop until you are 100% satisfied with your design! Please obtain the necessary approvals from your organization before commissioning custom artwork!
ART APPROVALS – Orders are printed only after the artwork has been approved by the customer. If art approval is not given by the customer in time to meet the original delivery date, the customer will be given a new delivery date. If a delay in art approval causes an order to be shipped on a rush basis (i.e. shipped other than ground delivery), an additional shipping charge may apply.
Final approval of the artwork is the customer’s responsibility. Each order is printed based on the final approved version of your design. Prographics cannot be held responsible for typographical errors or any other errors that are discovered after the product is printed if the errors were contained in the final approved version of the design. Please proofread your artwork carefully to avoid any problems!
RUSH SERVICE FOR GREEK PARTY FAVORS – Our standard turnaround time is 6-14 business days, depending on the product. Some products may have a longer production time. If you need a product in a hurry, just call us!
RUSH SERVICE FOR T-SHIRTS AND SPORTSWEAR – Our standard turnaround time is 4-8 business days. If you need to rush an order, we will do everything possible to accommodate you in as quickly as 2 business days. Rush charges may apply if your order cannot be shipped by UPS or FedEx ground service. Your sales representative will advise you of any rush charges that will apply, ahead of time.
ADD-ONS – Once t-shirt or favor quantities have been called in, no changes can be made to the quantity or sizing of an order. Please make sure all members are aware of this policy to avoid last-minute headaches from procrastinating members! It is not a bad idea to order a few extra t-shirts to sell to those members that didn’t order in time, if this does not violate your organization’s ordering policies. In the very rare event that Prographics can make an exception to this policy, your delivery date may be affected.
SHIPPING - All orders will be shipped with a traceable carrier (primarily UPS). If you wish to retrieve the tracking number for your order and follow its shipping progress online, please give our office a call one or two days before it is due to arrive, and we will provide tracking information.
ORDER CANCELLATION – If an order must be cancelled after quantities and sizes have been given and artwork commissioned, the customer will be billed a restocking charge of 15% of the original invoice amount on all sportswear and party favor orders (whether or not the final artwork has been approved).
This restocking charge will also apply if a customer must change the color of their shirts after they have been ordered. Shirts are ordered the same day or the day after the customer calls in his or her quantities, and secures payment.
DESIGNS THAT BLATANTLY PROMOTE THE UNDERAGE AND/OR IRRESPONSIBLE CONSUMPTION OF ALCOHOL, THE USE OF CONTROLLED SUBSTANCES, RACISM, OR LEWDNESS. Please, DO NOT call Prographics to print such orders. If a member of our staff considers a design or phrase to be in questionable taste or inconsistent with the ideals of your national organization, we reserve the right to refuse to print the order. As a licensed vendor, we must submit every shirt design for approval.
SHORTAGES – In the event that we discover a shortage or manufacturer’s defect in one or more of your t-shirts, Prographics will replace it immediately in order to fill your order. If we must make a substitution of two or more shirt sizes or colors, the customer will be informed by telephone ahead of time. All orders are counted three times by our quality control department to make sure that the sizing and count is accurate. Prographics cannot assume responsibility for a shortage if your package is left unattended after it has been opened. Please make sure that your delivery location is secure.
In the extremely rare case that a shortage or defect is discovered, Prographics will refund the difference to the customer promptly. It is not possible to reprint the missing or damaged shirts once the order has been printed and shipped, unless the situation meets the specifications for a re-order (see below). Shortages must be reported within 24 hours of delivery.
RE-ORDERS – A reprint can be ordered for shirts and sportswear after the original order has been shipped. The minimum quantity for a reprint order ranges from 12 to 36 pieces, depending on the number of colors printed. Please call to get pricing info before collecting money from your members, as the pricing for your re-order may be higher if you order quantities are lower than your initial order.
LICENSED, PATENTED OR TRADEMARKED DESIGNS – By ordering custom imprinted merchandise for one’s organization, the customer represents that all of the materials which are used by the seller in the production of the items represented by Prographics (including, but not limited to crests, logos, insignias or customized designs) will not cause the violation of any law, judicial decision, rule, regulation, ordinance, franchise or similar arrangements, informal or formal, oral or written relating to trademarks, copyrights, service marks, etc.
The customer also represents that by commissioning the seller to perform labor, whether physical or intellectual, they have the full authority to purchase and to grant the rights to the seller to fabricate, manufacture, and to sell any design or product that is created.
The customer agrees to indemnify and hold the seller harmless from and against any fees, fines, penalties, damages, losses or assessments including attorney’s fees which may be incurred by the seller which may arise as a result of the seller processing any order commissioned by the customer. The depiction of any logo, name or design in our catalogs or website is for demonstrative purposes only and does not imply that any such designs, logos or names can be reproduced without proper authorization or permission.
LICENSED INSIGNIAS ON GLASSWARE - The following organizations may not allow us to print your organization’s insignia on one or more glassware items: Alpha Chi Omega, Alpha Delta Pi, Alpha Omicron Pi, Alpha Phi, Alpha Sigma Phi, Alpha Tau Omega, Alpha Xi Delta, Beta Theta Pi, Chi Omega, Delta Delta Delta, Delta Zeta, Gamma Phi Beta, Kappa Delta, Kappa Sigma, Phi Delta Theta, Phi Mu, Pi Beta Phi, Sigma Alpha Epsilon, Sigma Nu, Sigma Sigma Sigma, Triangle.
PAYMENT METHODS AND TERMS – Prographics accepts Checks-By-Phone, Visa, MasterCard, money orders, cashier’s checks and personal or organizational checks. An order will be placed on our production schedule once payment is either received or guaranteed. If a check is to be mailed, the customer must secure the order with a credit card number to serve as a guarantee of payment. Your credit card will not be charged unless payment has not been received by the time your order arrives.
Prographics reserves the right to charge a late fee of $50.00 in addition to 1.5% interest per month on a case-by-case basis at its discretion.
Please DO NOT send multiple checks from individuals. A $35.00 fee may be assessed for any returned checks.
